We built a three-portal inspection management platform that connects administrators, inspection companies, and their end clients in a single system.
The super admin portal provides complete oversight of the platform. Administrators manage company accounts, monitor system-wide activity, configure inspection checklist templates, and access analytics across all inspections performed on the platform.
Inspection companies (like Rack Inspector themselves) manage their client roster, assign inspectors to sites, schedule inspections, and review completed reports before releasing them to clients. The dashboard shows upcoming inspections, overdue sites, and inspector workloads at a glance.
End clients — the warehouse operators — log in to view their inspection history, download PDF reports, see risk ratings for their racking systems, and track when their next inspection is due. This self-service access dramatically reduced phone and email enquiries.
The standout feature is automated PDF report generation. Inspectors complete digital checklists noting damage types, severity levels, and locations with photos. The system automatically compiles this data into professionally formatted PDF reports with the company's branding, risk ratings colour-coded by severity, photo evidence, and recommended actions — ready to send to the client.
Configurable inspection checklists ensure every racking component is assessed consistently. Checklists cover beam damage, upright damage, base plate issues, load capacity compliance, and safety signage. Each item can be rated with severity levels and accompanied by photographic evidence.
CakePHP's convention-over-configuration approach enabled rapid development of the three-portal architecture with its built-in authentication, authorization, and data validation. MySQL's relational model suits the structured nature of inspection data — checklists, ratings, and compliance standards follow strict schemas.
The PDF generation engine programmatically creates inspection reports with consistent branding, dynamic tables, colour-coded severity indicators, and embedded photographs — replacing hours of manual report formatting with a single click.
